Tampa Electric and its sister companies serve a role in providing critical services to our community during an emergency. Team members are required to participate in the response/recovery activities related to emergencies/disasters to maintain service to our Tampa Electric customers. Team members are required to work in their normal job duties or other assigned activities. Proper compensation will be made in accordance with the company's rules and procedures.

POSITION CONCEPT:
The Technology Asset & Vendor Management Analyst Associate works closely with the business units and Technology to understand their needs and serves as the point of contact for all Technology purchases, SAP invoice processing and deliveries.  Helps develops and assists in the creation of Request for Information (RFIs), Request for Proposal (RFPs), and Statement of Work (SOWs) under the guidelines and guidance of Corporate Purchasing and Contracts.  Maintains contact with vendors to manage the status and quality of orders and the progress towards contractual commitments. Plays a supportive, detail-oriented role, responsible for collecting, maintaining, and verifying data related to Technology assets, vendor contracts, and procurement activities. Ensures operational accuracy and administrative support within established processes. Focus Areas include Data entry, asset inventory tracking, document organization, basic vendor coordination.  Ensures accurate and up-to-date records that are foundational for audits, cost controls, and vendor renewals. Works under general supervision.

 

PRIMARY DUTIES AND RESPONSIBILITIES
1.    Assist the department Analysts with the management of workload:  Technology hardware and software orders, vendor quotes, vendor management issues, Technology inquiries and workload filtering utilizing our support tools (ServiceNow, CMDB, Express Metrix, IT Asset Management Tools, Service Desk.) (30%)
2.    Validate, prepare and submit for payment all Technology invoices and all telecom invoices for the entire company.  Telecom invoices includes local, long-distance, and wireless services. (20%)
3.    Maintain both a physical and virtual software licensing library by filing software, making sure software is recorded properly in the CMDB and/or IT asset management database.  Correlate purchase order information against the licensing record with in the IT asset auto discovery tool to maintain compliance.  Review contract and license utilization to ensure compliance is maintained for software installation. (20%)
4.    Assist the Analysts  in researching, analyzing and creating reports on newer computer technologies and industry standards by regularly reviewing strategic vendor product mix. (10%)
5.    Perform daily tasks of making sure ordered equipment has been added to the purchasing database, equipment being disposed of is deleted out of asset repository and all Service Desk request in the IT Asset Management queue is updated appropriately with action items for successful completion of those requests.  (10%)
6.    Assist Analysts with maintenance administration, which includes; updating, reviewing, modifying and tracking various maintenance renewals that are related to hardware, software, services of IT equipment standards. (10%)

QUALIFICATIONS   
Education
Required:    Bachelor’s Degree in Computer Science, Business Administration, Information Systems or other related field.  
     
In lieu of a Bachelors degree, an additional 2 years of experience with an Associates degree or an additional 4 years of experience with a HSD may be considered.

 

Licenses/Certifications 
Required:    ITIL Foundation Certification required within 12 months of hire.  

 

Experience
Required:    No experience

Preferred:    2 years of related work experience in IT Asset Management, IT technical support role, purchasing, contracts or Business analyst 

Familiarity with tools like ServiceNow, SCCM,  PowerBIand/or IATAM experience

•    Knowledge of basic IT Asset Management practices
•    Strong interpersonal/organizational skills: ability to meet deadlines, work in team environment and follow written policies and procedures.  Excellent Communication skills.

Technology Asset & Vendor Management Analyst

Plays a supportive, detail-oriented role, responsible for collecting, maintaining, and verifying data related to Technology assets, vendor contracts, and procurement activities. Ensures operational accuracy and administrative support within established processes. Focus Areas include Data entry, asset inventory tracking, document organization, basic vendor coordination.  Ensures accurate and up-to-date records that are foundational for audits, cost controls, and vendor renewals. Acts as an operational coordinator and subject matter contributor, managing asset lifecycle workflows, monitoring vendor compliance, and facilitating sourcing decisions. Requires cross-functional collaboration and analytical thinking to optimize spend and improve governance. Focuses on  License compliance, vendor performance tracking, sourcing support (RFx, supplier comparisons), and process improvement. Provides insights, operational efficiency, and risk reduction by ensuring the right assets are used, vendors are performing, and purchases align with our strategy. Works under general Supervision.  

 

PRIMARY DUTIES AND RESPONSIBILITIES
1.    Assist Analysts with the management of workload:  Technology Asset Governance, Technology hardware and software orders and usage trends, IT Vendor Management, Maintenance renewals, SAP purchase requisition creation and invoice processing, IT inquiries and workload filter utilizing our support tools (ServiceNow, Asset Repository, Cherwell Express Metrix, SNOW, IT Asset Management Tools and Service Desk.) (30%)
2.    Manage and maintain Hardware standards reporting and software licensing compliance reporting.  Review contract and license utilization to ensure compliance is maintained for software installation. Lead in the response to Software Audits as it relates to software assets managed by the group.  Cooridinate vendor risk assessments, contract reviews, and renewal tracking.  Asset is RFx events (RFI/RFP/RFQ) and vendor evaluations. (20%)
3.    Manage the entire Technology maintenance budget, forecast of the maintenance budget and processing of the renewals and payments on a timely basis.  Process and Manage the Asset Repository in ServiceNOW which feeds the CMDB for configuration management and NERC requirements. (20%)
4.    Perform data analysis and reporting of theIT Asset Management database, NERC Cyber Assets where required, UNITE data, and ServiceNow for responses to requests and incidents. (20%)
5.    Analyze and report on newer computer technologies and industry standards by regularly reviewing strategic vendor product mix. Prepare findings and make recommendations for replacing existing computer related assets (hardware and software) with newer technologies to Sr. Management through written and verbal reports. (10 %)

Plays a supportive, detail-oriented role, responsible for collecting, maintaining, and verifying data related to Technology assets, vendor contracts, and procurement activities. Ensures operational accuracy and administrative support within established processes. Focus Areas include Data entry, asset inventory tracking, document organization, basic vendor coordination.  Ensures accurate and up-to-date records that are foundational for audits, cost controls, and vendor renewals.  Serves as a  advisor and process owner who leads governance, reporting, and optimization initiatives across IT assets, vendor partnerships, and sourcing decisions. Focuses Areas include License audits, contract negotiations, supplier risk mitigation, strategic sourcing, reporting to leadership.   Enhances business value by shaping sourcing strategies, optimizing vendor portfolios, and ensuring that IT assets are aligned with performance, cost, and compliance objectives.

 

ADDITIONAL PRIMARY DUTIES AND RESPONSIBILITIES
1.    Assist leadership  to develop business plans and implementation of Technology Asset Governance and Auditing of Technology Assets, along with assisting in developing objectives that align with the strategy for IT sourcing, IT asset management and IT vendor relationship management best practices. (20%)
2.    Manage the full lifecycle of Technology purchases, agreements and maintenance contracts from initiation to completion from a Techonlogy sourcing standpoint.  Analyze this information to create long term asset utilization plans and to maintain software licensing compliance. (20%)
3.    Manage vendor and supplier relationships and maintenance administration with Technology vendors. (20%)
4.    Lead in the planning and management of the Asset Repository which assists the CMDB through the asset lifecycle replacement.  Lead the evaluation, recommendation and implementation of changes to Technology hardware and software standards. (10%)
5.    Lead and collaborate with Corporate Purchasing for contract administration and renewal activities. Prepares IT RFPs, RFIs, RFQs, and SOWs to capture IT asset and service specifications and obligations. (10%)
6.    Develop, implement and monitor supplier guidelines, obligations and service level agreements for the purchase of Technology hardware & software. (10%)
7.    Review, analyze and recommend software licensing options for compliance and maximum cost/benefits to the company. (10%)

Experience with cost modeling and total cost of ownership (TCO) analysis

 

Knowledge/Skills/Abilities
•    Deep understanding of software licensing (Microsoft, Oracle, Adobe, etc.).
•    Advanced experience with ITAM/SAM tools and sourcing platforms (e.g., Ariba, Coupa).
