TITLE: Real Estate Coordinator
PERFORMANCE COACH: Manager Land Rights

POSITION CONCEPT
Responsible for coordination and negotiation efforts in obtaining electric easement agreements from private individuals or companies to ensure that the Company has the necessary land rights for the legal protection of constructed facilities. Also, responsible for coordinating research and internal and external customer information requests involving Company land rights. Provides technical real estate support for other members of Real Estate Services and other departments as may be required.
PRIMARY DUTIES AND RESPONSIBILITIES
1. Under limited supervision, provides basic legal descriptions and reviews sketches and surveys provided by surveyors and/or Company representatives for easement areas to be utilized by the company. Perform title searches utilizing governmental records or electronic sources of information to determine accurate ownership interest. Research property information, utilizing public records, internet and contracted resources, to determine current accurate ownership of real property. Incorporate ownership information and legal description, with appropriate legal form of easement document, for delivery to customer or Company representative. (20%)
2. Assists in negotiations with customers or their legal representatives as to language revisions to easement documents to ensure proper company land rights are secured, and maintain customer satisfaction. May independently negotiate on less complex cases with contractors/developers to have additional easements added to proposed subdivision plats as needed. (20%)
3. Coordinates easement requests with Company service areas and other departments such as Distribution Engineering, Transmission Engineering, Operations personnel and Legal Services. Researches Company or public records, as requested internally or by customers, to determine location of existing easements. Coordinates contract services, surveyors, and title company activities related to distribution easements. (20%)
4. Prepares, negotiates, and researches other forms of easement documents (i.e., Release of Easement, Partial Release of Easement, Vacating of Alleys/Rights-of-ways, and Encroachments). Reviews and approves legal descriptions and sketches provided by surveyors for new private Company easements resulting from processed vacates and releases. Proofreads all documents for accuracy and completeness. (20%)
5. Prepares signed easement documents for recording within the appropriate County Clerk of Circuit Court office if electronic recording is not available. Electronically records signed original easement documents. Responsible for document recording (electronic-Simplifile, non-electronic), and scans all recorded easements into the Real Estate Electronic Document Management System. (10%)
6. Provides technical real estate support as it pertains to land rights to other team members within the Real Estate Services department. Works independently to complete administrative functions using SAP System to prepare Purchase Order Requisitions, Service Entry Sheets; department correspondence and reports; and maintain files, logs and record retention. (10%)
RELATIONSHIPS
Key Internal: Must maintain strong positive working relationships with Operations and Engineering departments, Purchasing, Risk Management, Marketing, and Legal Services Department.
Key External: Must maintain strong positive working relationships with external constituents: employees holding similar positions at other companies, customers, contractors, attorneys, surveyors, commercial and residential realtors, title companies, appraisers, outside property managers, general contractors, and public agencies including City, County and State government officials.
QUALIFICATIONS
Education:
Required: A High School Diploma or equivalent.
Preferred: Associates’ Degree
Licenses/Certifications
Preferred: A Florida Real Estate Sales Associates License or Member of International Right of Way Association, in pursuit of professional designation.
Experience
Required: Minimum of three (3) years experience related to a portion of the Duties & Responsibilities of this position. A degree may be considered in lieu of some experience.
Preferred: Related experience in a utility company Real Estate industry.
Knowledge/Skills/Abilities (KSA)
Required: Ability to make decisions concerning prioritizing work and handling problems in a timely manner. Must demonstrate ability to handle complex assignments
independently. Effectively communicate (oral and written skills) and maintain strong customer relationships with internal and external constituents. Must have the skills to negotiate revisions to legal documents related to real estate easement rights, and the knowledge to prepare basic legal descriptions. Ability to work on several projects simultaneously under limited guidance. Proficiency in MS Office Suite products.
Preferred: Proficiency in GIS software.
