POSITION CONCEPT

The Project Communications Coordinator supports the integration, implementation, and oversight of ADI project management practices that cross over the entire organization. Assists in developing communication strategies, procedures, and project-related initiatives to promote effective delivery. Contributes to the development of essential deliverables and project plans, aiming to enhance project level outcomes and stakeholder satisfaction. Responsibilities include crafting communications, preparing presentations, and coordinating project-related events. Supports key project management tasks as needed, ensuring tasks are completed on schedule, assisting in risk mitigation, providing progress updates, and assessing the effectiveness of project initiatives.

 

PRIMARY DUTIES AND RESPONSIBILITIES

  1. Coordination and Collaboration. Works closely with project managers, team members, and other departments to ensure cohesive communication and effective information sharing within the project team. Facilitate the flow of project updates and information, ensuring all parties are aligned and informed about project developments and milestones. Act as the liaison between TECO and Deloitte for the various ADI work streams, including Business Enablement, Project Management Office, Change Enablement, and Technical Oversight teams, supporting seamless collaboration across all areas. (30%)

 

  1. Content Creation and Management. Responsible for preparing, editing, and distributing materials specifically tailored for the steering committee and executive reporting, including detailed reports, presentations, and executive summaries. Manage content for internal communication platforms to ensure that critical project updates and insights are accurately and effectively communicated to senior leadership and key stakeholders. (20%)

 

  1. Stakeholder Engagement. Facilitates effective communication with stakeholders, including project team members, clients, and partners. Organize and support meetings, workshops, and other events to keep stakeholders informed and engaged with project developments.  (15%)

 

  1. Project Support. Collaborate with project team leads, business stakeholders, and impacted departments to facilitate clear communication and alignment of project objectives. Schedule and organize project meetings, prepare agendas, and facilitate discussions. Assist in managing project timelines, tracking action items, ensure follow-up, assessing team resources, and identify potential risks or issues to support successful project delivery. (15%)

 

  1. Mentorship & Coaching.  Coordinate mentorship and coaching relationships within project teams, fostering a culture of continuous learning and growth. Ensure impacted employees receive the awareness, leadership, coaching, and training required to change successfully. (10%)

 

  1. Risk Management & Documentation. Identifies potential communication risks and develops strategies to mitigate them. Manage project documentation, ensuring all relevant information, including project plans, progress reports, and meeting minutes, is accessible to stakeholders. Perform ongoing maintenance, storage, and execution of the Document Management Plan, ensuring comprehensive documentation management beyond content creation and distribution. (10%)

QUALIFICATIONS

Education

Required:            Bachelor’s degree in Liberal Arts, Communication or related field.

Preferred:           Project Management Professional (PMP) Certification 

 

Experience 

Required:            3 years experience in project coordination, communication, and/or project management.

                              Experience with building effective communication materials with attention to detail.     

Preferred:           Experience in supporting change initiatives, including developing and communicating procedural and curriculum changes. 

                              Project management experience, particularly in a utility or highly regulated industry.

 

Knowledge/Skills/Abilities (KSA)

Required:            Excellent oral and written communication at all levels of the organization with minimal errors.  Builds and maintains strong positive working relationships across all levels of the business.

                                Attends industry groups and applicable conferences to maintain standards and grow skillsets.

Understand project environments. Experience in developing communications and/or training solutions. Exhibits bias for action. Experience in facilitating workshops.

Communicates for clarity. Analytical thinker. Experience working in fast-paced, complex work environments.

 

Preferred:           Competent understanding of Tampa Electric’s business and organizational functions. Knowledge of change enablement practices and project management principles.

WORK CONDITIONS

Expected to be at the office a minimum of three (3) days per week.  Occasional travel and storm restoration overtime is required.
