HR Coordinator, Learning and Organizational Effectiveness
The HR Coordinator (Learning and Organizational Effectiveness) is responsible for the administration of processes and programs within Learning and Organizational Effectiveness as part of the Human Resources team. The HR Coordinator oversees the pre- and post-employment testing and assessment program in accordance with department procedures, company policies and legal regulations; and provides consultation to hiring managers and recruiters throughout the selection process. The HR Coordinator administers the Rewards and Recognition Program, the Tuition Assistance Program, and provides administrative support for LMS systems. Assists with developing company HR communications for employee resources groups and provides additional administrative support such as reporting, process department invoices and purchase orders.
PRIMARY DUTIES AND RESPONSIBILITIES
- Oversees the testing and assessment program. Administers all selection testing for various positions by following administration instructions. Serves as point of contact regarding test preparation and test scores. Scores examinations and shares results as required. Maintains testing databases and files test score reports. Maintains testing and assessment inventory and creates appropriate financial chargeback reports to internal departments. Performs descriptive and inferential statistical analysis on test results, survey responses and demographic data.
Additionally, the coordinator conducts literary/empirical research to help develop and support the use of certain selection tools and ensure the psychometric quality of results. Manages the design and maintenance of multiple computerized systems and databases for testing and assessment results; provides timely reports to management of appropriate (confidential) information. Provides consultation to hiring managers and recruiters throughout the selection process. Evaluates selection processes to identify areas in need of process improvements, which can include job analyses and testing validation studies. Manages vendor relationships. (40%)
- Oversees Rewards and Recognition platform (Kudos). Acts as program administrator of the platform; liaison with vendor on best practices and system issues; troubleshoot issues with internal customers; lead the Cheers to Peers (CTP) Champions network and promotional campaign efforts. (20%)
- Oversees Tuition Assistance Program. Monitors and ensures participant compliance with policy, maintains records, provides actionable summary reports as required. Validates and approves new applications for the program; analyzes/reconciles reimbursements to ensure adherence to policy and manages the budget for the program. (10%)
- Provides administrative support for LMS system, supports Employee Engagement survey activity for Tampa Electric to include data file prep/cleanse; survey rollout, communications, reporting and action planning. Consults on internal survey needs; including the design, administration, and analysis of results. (10%)
- Coordinates learning calendar and facilitators for the department. First level of support for problem resolution for the team. Also responsible for coordinating and posting training schedule for the department. Carries out special projects and assignments as requested. (10%)
- Processes invoices and purchase requisitions. Prepare special reports, gather and summarize data. (5%)
- Set up and maintain files of department documents and records, ensuring accurate and logical organization of files, controlling confidentiality as necessary. Typically may include coordination and organization of all record retention activities for functional group. (5%)
RELATIONSHIPS
Key Internal: Interacts on a regular basis with training class participants, Tuition Assistance participants, and facilitators.
Key External: Has regular contact with external vendors to order test materials and catering services.
QUALIFICATIONS
- Associates degree and 2+ years of related experience as an HR Coordinator, HR Assistant, TA Coordinator, or similar role; knowledge and experience administering selection tests preferred.
- Demonstrated project management skills
- Proven ability to communicate effectively and read and comprehend policies, procedures, and instructions
- Superior organizational skills, ability to multi-task, with a high degree of detail orientation
- Effective communication skills and ability to work at all levels of the organization
- Ability to handle sensitive and confidential information in a professional manner
- Demonstrated proficiency in Excel, Word, Access, and PowerPoint; SAP/SuccessFactors experience highly desired
- SAP Knowledge in the area of SES, SRM, Purchase Requisitions and Purchase Orders preferred
- Knowledge of departmental operations, policies and procedures (i.e. contractual agreements, administrative policies), company budgetary methodology and procedures, and other company policies preferred
- A bachelor’s degree will be considered in lieu of some experience.
