POSITION CONCEPT

 

The Executive Assistant is responsible for providing high-level administrative support to multiple Vice Presidents in Tampa Electric (currently VP Legal, VP Regulatory Affairs and VP State and Regional Affairs).  This position requires handling of confidential information and documentation, and functions as an integral part of the Tampa Electric team, providing support to department directors and staff as needed.  The Executive Assistant will provide the following assistance: represent the Office of the Vice Presidents on all daily work-related issues and longer-term projects. This position includes departmental coordination duties of varied scope and complexity. Duties often involve administrative projects with critical time paths. 

 

PRIMARY DUTIES AND RESPONSIBILITIES

  1. Provide administrative support to multiple Vice Presidents in Tampa Electric.
  2. Maintain appointment calendar, answer telephone, screen and refer calls, as well as greet visitors.
  3. Prepare expense reports and review and process invoices and check requests.
  4. Open and prioritize incoming mail and deliveries and respond to general correspondence and inquiries as appropriate; distribute mail to other departments as appropriate.  Ensure all written communication and telephone calls are quickly and professionally acknowledged, especially during VP’s absence.
  5. Make travel and lodging arrangements as requested, including airline ticketing, hotel accommodations, ground transportation, conference registration, etc. (keep VPs informed of all details, changes, etc.)
  6. Perform and coordinate office administrative activities; schedule meetings, reserve conference rooms, arrange for refreshments, ensure conference and video set up if needed, and prepare and distribute agenda.  Serve as department’s event coordinator. Order and maintain supplies, as well as contact with outside vendors for maintaining and updating office equipment.
  7. Assist executives with the preparation of presentations.  Pull background information and complete research as requested.
  8. Work together with other executive assistants on various projects/assignments.
  9. Perform additional duties and responsibilities as assigned by supported Vice Presidents project support for Director’s and management staff.

 

RELATIONSHIPS

Key Internal: This position interfaces with all levels of management throughout Peoples Gas, Tampa Electric Company and TECO Energy and its subsidiaries as required to perform the above duties and responsibilities.

Key External: Ability to establish and maintain effective working relationships with other companies, contractors, suppliers, non-profit organizations, governmental agencies and others as necessary.  Responsible for creating a positive “first impression” for visitors and business contacts.

 

QUALIFICATIONS

 

Education

Required: High school diploma

Preferred: Associate’s degree from an accredited college and five years progressive administrative experience

 

Experience 

Required: Minimum of ­­­­­­7 years of progressive administrative experience

 

Knowledge/Skills/Abilities (KSA)

Required: Excellent interpersonal and communication skills (verbal and written). Strong planning and organizational skills.  Self-motivated and able to work independently. Exercise independent judgment and follow-up as needed. Demonstrated proficiency in MS Office including Word, Excel, PowerPoint, Outlook and the Internet.
