POSITION CONCEPT
Under limited supervision, provide administrative and technical support to the Manager and Supervisors of Tampa Electric’s ED Distribution Services (DS), including Engineering, Design, Standards & Field Locating Services departments. Perform a variety of administrative tasks including providing financial analysis and support for Management, updating spreadsheets, and monitoring, preparing and communicating on budgetary accounts monthly. Technical duties include support of Tampa Electric’s Field Locating Services through locate ticket screening. Support engineers and technicians on large projects.
PRIMARY DUTIES AND RESPONSIBILITIES
- Query, track and analyze monthly forecast/actual budget data in MS Excel for Distribution Services and DS Distribution Design and Field Locating departments. Prepare monthly reports for Distribution Services’ cost centers for O&M, blankets, specifics, and other budgets; Investigate charges via SAP software. Prepares the monthly and YTD budget explanations for the Manager. (25%)
- Performs reforecasting which involves allocating charges to the correct activities. Each month, reassign incorrect charges to their appropriate activities for Distribution and Locating Services departments. Prepares budget explanations. (15%)
- Support ED Distribution Services Department’s Field Locating Services in screening locate tickets to minimize/reduce charges due to no conflict tickets sent to locating contractors. (35%)
- Support ED Distribution Services Department’s Distribution Design team with creating Service Entry Sheets as required. (15%)
- Assist Manager and Supervisors with other administrative and technical duties as assigned, including report generation, correspondence, presentations, project support and other administrative/technical support and expertise related to Microsoft Office suite (Word, Power Point, Excel, Access), SAP/BPS. (10%)
RELATIONSHIPS
Internal: ED Locate Services, Distribution Design, Distribution Engineering, and Standards
External: External excavators/locators, Manufacturers, Suppliers and Engineering Firms
QUALIFICATIONS
Education
Required: High School diploma or equivalent, with additional courses after high school strongly desired.
Preferred: Two year business or technical degree preferred
Related Experience
Required: Minimum of four (4) years of work experience related to performing the duties and responsibilities of this position is required; Related experience examples are: SAP knowledge, presentations using MS Power Point, generating reports using MS Excel, and administrative duties
Preferred: Minimum of two (2) years of Tampa Electric ED service area work experience is preferred. Experience in engineering administration environment; Direct experience with TECO’s BPC budget system and providing financial/budgetary support in TEC engineering/operations environment preferred
Knowledge, Skills and Abilities (KSA)
Required:
- Knowledge of TECO’s budgeting processes and systems (BPC)
- WorkPro and SAP Payroll; MSWord, MS Excel, MS Access, MS PowerPoint
- Must demonstrate high level of integrity regarding personnel issues and other confidential information
- Solid administrative skills; High stress tolerance, teamwork, initiative, work standards, oral and written communication as well as planning and organizing skills Must have the ability to read and comprehend policies, procedures and instructions and to use logic and common sense to solve problems.
