POSITION CONCEPT
The Administrative Specialist Sr – Revenue Operations provides general administrative support to the Billing and Payments department and back-up support to the management team in Customer Experience. Responsible for budget related activities such as budget preparation, budget variance analysis, and budget projections. Responsible for the preparation of correspondence, development of presentations, compilation of departmental reports, travel coordination, and other administrative support as necessary.
PRIMARY DUTIES AND RESPONSIBILITIES
- Provides general administrative support to the department including coordinating quarterly and management team meetings and direct reports meetings. Supports department in preparing presentations including graphs, charts, linking spreadsheets and developing queries as required, and written reports and audio visuals. Coordinates and compiles departmental information for B&P score card measures and handles other ad hoc requests.
- Responsible for the coordination of the Revenue Operations operating administrative budget for labor and O&M expenses, including budgeting, tracking, and forecasting the monthly budgets report and attending meetings for annual budget preparation. Handles a significant amount of transactions, tracks and follows up with variance and adjustment activity with Accounts Payable.
- Reconciles petty cash, credit card reports and statements, assigning proper order number to accounts for processing. Reviews expenditures and accurately prepares and submits expense reports on a timely basis for manager and department team members.
- Provides general administrative support in the preparation and distribution of department’s ICS (Storm Plan), Disaster Recovery and Records retention. Supports department team members in preparing presentations including graphs, charts, spreadsheets, etc. as required, and written reports and audio visuals. This includes modifying and updating department information and retention pick-ups.
- Coordinates travel arrangements, reconciling expense reports and maintaining pertinent documents and support all department activities as necessary. Handles the acquisition/ordering of office supplies, team member recognition items and department purchases on the internet. Order materials to be used for meetings/training and presentations. Order and maintain inventory of customer items.
QUALIFICATIONS
Education:
- Required:
- High School Diploma or equivalent.
- Preferred:
- Associate's Degree.
Experience:
- Required:
- 4 years related administrative experience in progressively more complex assignments.
Knowledge/Skills/Abilities
Required:
- Above average math skills needed for budget preparation. Basic skill set in budgeting and forecast projections.
- Good communication/presentation skills, and strong planning and organizational skills.
- Ability to handle multiple, complex administrative functions independently.
- Must be proficient in the use of computer software and demonstrate proficiency in windows environment Microsoft Office Suites, including MS Office Word, Excel and Power Point.
- Knowledge and skills in the development of queries and linking data base spreadsheets.
- Ability to use good judgment, prioritize work assignments and maintain effectiveness when handling multiple job tasks.
Preferred:
- General knowledge in Access.
- Proficient skill set in CIS application and knowledge of Customer Service systems.
