POSITION CONCEPT:
This position works under minimal supervision and provides administrative and technical support to station management and staff. Additionally, this position provides critical support activities, such as coordination, tracking, technical support, documentation and record retention, related to Big Bend Station, ensuring consistency and compliance. Incumbents perform a variety of high-level administrative tasks including originating forms, maintaining training materials, updating complex spreadsheets, running queries and monitoring, preparing and communicating on budgetary accounts monthly.
PRIMARY DUTIES AND RESPONSIBILITIES:
This position has responsibilities and duties including, but not limited to the following:
Payroll processing
- Entering and reviewing supervisory, operating and office payroll, including time card entry for covered maintenance employees. Performing closeout of bi-weekly payroll routinely and handles paycheck distribution and payroll related special requests.
- Providing payroll reports on productive and non-productive time, overtime hours which Includes a detailed review of payroll records for errors and completeness, ensuring appropriate approvals, releasing payroll records via the WorkMan system.
- Generation/distribution of reports including headcount, overtime reports, non-productive, sicktime percentages and updating of personnel assignments.
Plant purchasing, accounting and invoicing functions
- Review purchase requisitions, service entry sheets, purchase orders, vender invoicing for completeness and accuracy and secure appropriate approvals; enter required information into SAP and Workman systems; maintain historical files.
- Enter contractor time card information into Workman system and balance to contractor invoice; review for completeness and accuracy.
- Resolve all purchase requisitions and/ vender invoice discrepancies, make correcting journal entries as needed and provide vender and/or payment information to Station staff and Management as requested.
Manual Accruals, Commitment, Budget Variance & Expenditure Information, and Special Projects
- At the end of each month review outstanding purchase requisitions, open accounts, and vender invoicing to determine which are appropriate for accrual; contact Station staff and/or other support departments when necessary.
- Prepare and submit month-end accruals and other journal entries as required.
Miscellaneous other Duties
- Request, disperse and track special funds (i.e. hurricane, annual-get-togethers, safety luncheons, etc.); prepare in good form expense account statements to close-out special fund and primary back-up for miscellaneous Station administrative duties such as handling of food orders/pickups, special room set-ups for meeting, and information distribution as requested by station management and staff.
QUALIFICATIONS
Education
Required: High School Diploma
Preferred: Associate’s Degree
Experience
Required: Minimum of 6 years of work experience related to the duties and responsibilities of this position
Preferred: Minimum of 2 years of experience in a utility environment. Familiarity with SAP, FERC system of accounts, Workman and power plant terminology.
Knowledge/Skills/Abilities
Required: Proficient in budget and payroll and associated systems. Strong keyboard skills and proficient knowledge of MS Word, MS Excel, MS PowerPoint, and other miscellaneous systems.
Preferred: Experience with the budget systems, work management systems and SAP Purchase Requisition & Purchase Order processes, Service Entry Sheet (SES)
