POSITION DESCRIPTION

 

TITLE:    Co-Op, IT Asset & Vendor Relations Analyst (Progression) 
REPORTS TO:    Manager, IT Asset & Vendor Relationship Management

This is Co-Op yet multi-level position and the salary range for this position varies and is commensurate with skills, experience, and education.

 

POSITION CONCEPT

Maintains and enforces the overall IT and Telecom Asset, Configuration and Vendor management strategy and portfolio in a multi-sourced environment that is consistent with corporate policy.  Manages and assists in the selection, acquisition, monitoring, and contractual agreements of IT and telecom hardware, software, and maintenance services.  Responsible for maintaining and supporting the configuration management function of IT & Telecom’s corporate-wide Configuration Management Database (CMDB) and asset portfolio.  Maintains and manages software licenses information and updates to ensure compliancy.  Ensures NERC cyber assets along with corporate and legal guidelines are followed for managing IT hardware and software assets.    Works closely with the business units, IT and Telecom to understand their needs and serves as the point of contact for all IT & telecom purchases, SAP invoice processing and deliveries.  Develops and assists in the creation of Request for Information (RFIs), Request for Proposal (RFPs), and Statement of Work (SOWs) under the guidelines and guidance of Corporate Purchasing and Contracts.  Maintains contact with vendors to manage the status and quality of orders and the progress towards contractual commitments.  Pursues new vendor relationships as needed.

Co-Op/Associate IT Asset & Vendor Relations Analyst (Progression) 

 

PRIMARY DUTIES AND RESPONSIBILITIES
Works under general Supervision

 

1.    Assists the Analyst and/or Sr. IT Asset Management Analyst with the management of workload:  Configuration Management requests, IT and Telecom hardware and software orders, vendor quotes, vendor management issues, IT inquiries and workload filtering utilizing our support tools (CA Service Center, CMDB, Express Metrix, IT Asset Management Tools, Service Desk.) (30%)
2.    Validates, prepares and submits for payment all telecom invoices for the entire company which includes local, long-distance, and wireless services. (20%)
3.    Maintains both a physical and virtual software licensing library by filing software, making sure software is recorded properly in the CMDB and/or IT asset management database.  Correlates purchase order information against the licensing record with in the IT asset auto discovery tool to maintain compliance.  Review contract and license utilization to ensure compliance is maintained for software installation. (20%)
4.    Assist the Analyst and/or Sr. IT Asset Management Analyst in researching, analyzing and creating reports on newer computer technologies and industry standards by regularly reviewing strategic vendor product mix (10 %)
5.    Perform daily tasks of making sure ordered equipment has been added to the purchasing database, equipment being disposed of is deleted out of asset repository and all Service Desk request in the IT Asset Management queue is updated appropriately with action items for successful completion of those requests.  (10%)
6.    Assists Analyst with maintenance administration, which includes; updating, reviewing, modifying and tracking various maintenance renewals that are related to hardware, software, services of IT equipment standards. (10%)

 

RELATIONSHIPS
Internal:    Has contact with various individual team members throughout TECO Energy.  Work closely with all areas of Information Technology, Telecom, Accounts Payable and Corporate Purchasing and Contracts.
External:    Represent, develop and maintain working relationships with the internal sales representatives from various hardware and software vendor companies.

 

QUALIFICATIONS   

 

Education
Required:    Bachelor’s Degree Program in Computer Science, Business Administration, Information Systems or other related field.  4 years of business analyst experience or experience in IT Sourcing, IT Asset Management, IT Vendor Relationship Management or Software Licensing Certified will be considered in lieu of education (Experience considered while still in degree program)..  

Licenses/Certifications 
Required:    ITIL Foundation Certification required within 6 months of hire.  

Related Experience
Preferred:    Minimum of 2 years of related work experience in IT Asset Management, IT technical support role, purchasing, contracts or Business analyst preferred.

Knowledge/Skill/Abilities
-    Prior ITIL experience desirable 
-    Strong interpersonal/organizational skills: ability to meet deadlines, work in team environment and follow written policies and procedures.
-    Technical competence with Microsoft – Word, Excel and Access
-    Knowledge of basic IT Asset Management practices
-    Strong organizational skills
-    Ability to use new software applications/packages
-    Budgeting and monthly forecasting processes
-    Systems experience and ability to grasp relationship between business needs and system solutions
-    Excellent Communication Skills
-    Highly motivated with strong customer service focus
