POSITION CONCEPT
Coordinate, plan, direct and supervise company-wide administrative services, which include records management, mail distribution and courier messenger services, receiving room operations, printing and duplicating services, and forms management to include all of Florida Operations. Plan, analyze and support operational and postal budgets. Develop and implement policies and procedures. Develop and administer service contracts.
PRIMARY DUTIES AND RESPONSIBILITIES
- Develop and implement policies, procedures, and work standards for mail distribution and courier services, receiving room operations, printing and duplication services and records management services for Florida Operations. Plan, analyze and support budgets and expenditures, including all postal accounts and rental boxes for all of Florida Operations. Develop and administer maintenance and service contracts for systems and equipment operated by the Mailroom and Print Shop.
- Supervise the daily operations of the mailroom and plaza receiving room, ensuring the timely distribution of all mail and parcels. Process and mail selected customer bills. Ensure all corporation mailings utilize the most efficient and cost-effective methods. Incorporate and monitor compliance with all postal procedures and regulations. Manage and coordinate activities with all external mail couriers and delivery services including Federal Express and United Parcel Service.
- Supervise the Corporate Records Management Program, electronic records management application system, and off-site records storage center. Ensure records management policies and procedures meet all legal and regulatory requirements and corporate standards. Consults with and trains users on the Records Management Program and the electronic records management application system. Supervise the day-to-day operation of the off-site records management facility.
- Supervise the daily operations of Printing and Duplicating Services, which offers full-service printing, copying, and bindery services for all departments including special projects for Corporate Communications and Board meetings. Review and approve print production schedules, print specifications, and customer quotations. Manage and coordinate the printing, storage, and distribution of standard company forms.
- Prepare and maintain reports, dashboards and monthly performance updates.
- Performs various duties as needed, including handling elevated customer requests and provides back-up coverage for Manager as needed.

QUALIFICATIONS
Education
Required:
- Bachelor’s degree from an accredited university.
Preferred:
- Major in Business Administration, Finance, or a related field.
Licenses/Certifications
Preferred:
- Certified Mail Manager (CMM) certification.
- Certified Records Manager certification.
Related Experience
Required:
- Minimum of 3 years of work experience related to the Duties & Responsibilities of this position is required.
- Skilled in customer service, problem resolution, and communications.
Supervisory Experience
Required:
- A minimum three (3) years of direct or indirect leadership experience (demonstrated ability to lead people or projects).
Preferred:
- Five (5) years of direct supervisory experience.
Knowledge/Skills/Abilities (KSA)
Required:
- Skilled in customer service, problem resolution, and communications.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to coordinate several activities at once, quickly resolve specific problems, and cope with deadlines.
